DutiesSummary of Duties, AESE Officers and Board of Directors

Vice President

Duration of term: approximately one year (term begins and ends at annual meetings). Note: although the vice president's term is only one year, it is, in fact, a three-year commitment (Vice President, President, and Past President),

Attend annual Board of Directors meetings.

Serve as Program Chair for annual meeting.

Cover for President when he/she is busy.

Participate in discussions (mostly e-mail) of AESE business and vote when necessary on issues.

Assume position of President the following year.

President

Duration of term: approximately one year (term begins and ends at annual meetings).

Plan agenda and preside over Board of Directors meetings at beginning and end of term (these meetings are typically scheduled at the beginning and end of the annual meeting).

Preside over annual business meeting.

Appoint committees, chairs, and members (or accept previous year's assignments) within first few weeks following beginning of term.

Appoint a Tellers Committee that will count ballots and present election results at the annual meeting. Note: The Secretary has traditionally served as chair of this committee.

Send Board of Directors list and committee lists for publication in Blueline and Directory of Members.

Receive and act on any correspondence from associated societies.

Write letter of welcome to new members.

Act as signing authority on AESE business.

Write quarterly "From the President" letters for Blueline.

Act as advisory member on all committees.

Forward issues that need discussion and voting to the board; act as final authority for resolving issues.

Participate in discussions (mostly e-mail) of AESE business and vote when necessary on issues.

Serve one-year term as Past President, following term as President.

Past President

Duration of term: approximately one year (term begins and ends at annual meetings).

Serve as chair of Financial Advisory Committee and Nominations Committee.

Attend annual Board of Directors meetings and participate in board discussions throughout year.

Participate in discussions (mostly e-mail) of AESE business and vote when necessary on issues.

Treasurer

Duration of term: approximately three years (term begins and ends at annual meetings); may be re-elected to one successive, three-year term (serving approximately six years in a row).

Keep records of dues payments in a database, which is cross-checked with that of paid central office manager (currently, Rowena Mills).

Report on finances to the board at the annual meeting.

Deposit membership dues.

Pay bills as they are received.

Secretary

Duration of term: approximately three years (term begins and ends at annual meetings); may be re-elected to one successive, three-year term (serving approximately six years in a row).

Keep database of new membership applications, which is cross-checked with that of paid central office manager, (currently, Rowena Mills).

Report on election results and membership statistics to the board ath the annual meeting.

Take notes at the two board meetings (held at the beginning and end of annual meetings), write them up and circulate to board members who were present at meetings, and submit corrected minutes to the Blueline for publication. (If possible, provide board members with a rough copy of the minutes from the first board meeting prior to the second board meeting held at the end of the meeting.)

Design and e-mail ballots to eligible members.

Ask nominees for a short biographical statement, which is included with ballots.

Report on election results and membership statistics at the annual business meeting.

Present mugs for recruitment of new members at the annual meeting.

Mail completed membership notices to office manager.

Office Manager

Duties of the contracted central office manager: (1) maintain membership records (final authority on membership issues, i.e., who is eligible to vote, receive Blueline, get mugs); (2) compile and produce membership directory; (3) ship archival materials to AESE archivist (currently Beverly Molyneux); (4) receive and pay bills for domain name.

Board of Directors

Duration of term: approximately three years (terms begin and end at annual meetings). Note: Board members serve staggered terms.

Attend Board of Directors meetings held at the beginning and end of annual meetings.

Participate in discussions (mostly e-mail) of AESE business and vote when necessary on issues.

Take on additional leadership duties (e.g. serve on program committee; act as liaison to GSIS, AGI, etc.; write a column for Blueline).
